— The problem

Daycares and small schools run building maintenance through the chaos of WhatsApp and paper. A leak in the kids' bathroom, the nursery air conditioner that died, a loose outlet near the children — it all turns into stray messages in a group chat or a note left at the front desk.

Nobody really knows how many work orders are open, which ones are past due, or who's responsible for each. The result is forgotten repairs, missed deadlines, and zero visibility into priority in an environment where children's safety is on the line.

— The solution

A tailor-made web system to open, assign, track, and close every work order in one place. Each ticket carries a title, location, category, priority, owner, and due date — and the dashboard shows in real time how many orders are open, in progress, overdue, and completed this month.

The list filters by status, category, and priority; each order's detail view gathers the description, photo attachments of the problem, and a chronological history of everything that happened (creation, assignment, status changes, and comments). Access is governed by role levels (admin, manager, and operator), so each person sees and does only what's relevant to them.

— What we built

  • Dashboard with live metrics: counters for open, in-progress, overdue, and completed orders this month (including average completion time), a donut chart by status, and a bar chart of open orders by category (Maintenance, Cleaning, Infrastructure, Safety, Kitchen, Playground, IT).
  • Work order list with sequential numbering, title, location, category, priority, owner, color-coded status, and due date — including visual overdue alerts ("due yesterday", "2 days overdue"), search, filters by category and priority, and pagination.
  • Order detail view with an overdue-deadline banner, the full ticket description, location/category/requester/owner/opened/due fields, an attachments gallery (photos of the problem), and print, edit, and change-status actions.
  • Per-order chronological history: ticket creation, assignment to an owner, status changes (Open to In Progress), and dated comments, with a field to post a new update.
  • New work order form with an auto-generated number, category, title, location/area, requester, description, a priority selector (Low/Medium/High), initial status, owner assignment, due date, and photo upload for the problem (JPG or PNG, up to 5 MB).
  • User management with roles and access levels (Admin, Manager, Operator), active/inactive status, last-access timestamps, and counters per role type.
